Administrative Assistant

Beatrice Institute (BI), a Pittsburgh-based initiative fostering education and research in the Christian intellectual and cultural traditions, seeks a temporary, part-time Administrative Assistant to support our team from October 2025 through May 2026, working 15-20 hours per week. The Administrative Assistant will work closely with the Executive Director and Development & Communications Manager in two main administrative areas: data management and event staff support.

The position pays $18-20/hour. A minimum of 2 years of administrative experience is preferred but not required. 

Qualified applicants will:

  • Be able to attend standing weekly virtual meetings and occasional in-person meetings.

  • Be expected to assist with and attend approximately 6 in-person, public events.

  • Be a good communicator, detail-oriented, and organized.

  • Collaborate well, ask good questions, and be comfortable giving and receiving constructive criticism.

  • Be willing to learn and master administrative procedures.

  • Take a proactive approach and embrace ownership over assigned projects.

  • Have a keen interest in higher education, academic environments, student engagement, and Christian studies.

Responsibilities include, but are not limited to:

  • Data Support Functions:

    • Process organizational payments, including sending checks and paying bills.

    • Enter new profiles and contact information into Salesforce (SF).

    • Add new Mailchimp subscribers into Salesforce and keep mailing lists accurate.

    • Assist in the collection and composition of data and metrics for board meetings and quarterly reports.

    • Manage donor appreciation tasks, such as mailing t-shirts and thank-you cards to donors.

    • Manage the execution of quarterly report mailings.

    • Conduct interviews with alumni and record findings for organizational use.

  • Event Support Functions:

    • Assist in day-of event coordination (pick up catering, supplies, and other event-related items as needed; set-up, tear-down, and clean-up; take photographs during events and upload them to the organization archives on the same day, etc.).

    • Serve as an on-site (or virtual) administrator for events and seminars when senior staff are unavailable.

    • Update and maintain the organization’s website with current information and event materials.

    • Create and monitor event RSVP forms.

    • Record event attendance (and update participant information) in Salesforce.

    • Locate lunch locations and make dinner reservations.
